To effectively handle the banks records for safe and efficient storage, retrieval and destruction. Additionally, responsible for arranging, describing, preserving and providing access to Bank records, documents and other materials with long-term, historical value and importance.
Key responsibilities
1. Receive, verify, record and safely shelve and store documents for archiving.
2. Retrieve, register and issue archival documents as requested and approved.
3. Arrange for destruction of obsolete records as per approved lists.
4. Receive, record and sort incoming mail for distribution and dispatch outgoing mail.
5. Prepare and process necessary paperwork related to mail services and maintain records of quantities and descriptions of materials received and distributed.
6. Assist in the supervision of all service providers carrying out works in the archives e.g. fumigators.
7. Maintain an inventory of all records in the records repository and keep the access register up-to-date.
8. Advise the Records Management Officer on records that have over stayed their return dates.
9. Preserve and conserve from time to time all the records that are in his or her jurisdiction so as to facilitate continued existence of the Bank’s information sources.
10. Timely retrieval of records requested for by authorized staff against formal fully signed requisitions submitted to the Records Office and also ensure correct refilling of the records returned.
11. Maintain a well-organized and neat Records Repository with orderly filling and shelving as per Bank standards.
12. Maintain an updated process flow for the management of all categories of records in the Records repository and maintain an updated records status of all records movement outside the Records Repository.
13. Restrict access to unauthorized staff from gaining access to the Bank Information sources.
14. Catalogue, classify and index all the records delivered to Stores for proper storage.
15. Advise on emerging filling space needs to the Records Management Officer in a timely manner.
16. Recommend and assist with implementation of records storage and indexing solutions and may develop databases and information access systems, as time and resources may allow.
17. Perform any other duties that may be assigned from time to time by the supervisor.
Knowledge and experience
1. Bachelor’s Degree in Records and Archives Management, Library and Information Science or a business related field.
2. Good understanding of records and archives Management principles
