Scope of the position.
Responsible for providing human resource and administrative support to the program and ensuring day-to-day administrative and procurement functions of the country office are well-coordinated.
Duties of the role/deliverables
The Human Resources and Administration Officer will be responsible for;
Human Resource Management Key Responsibilities
• Responsible for providing support in the recruitment process from advertising, and shortlisting to the selection of suitable candidates.
• Coordinate the orientation and onboarding process for new staff including coordination of a ‘buddy’ to assist them to adapt to the organization’s culture and working environment.
• Responsible for management of staff remuneration and benefits, ensuring alignment with government laws and regulations.
• Responsible for coordinating staff performance management including goals and other performance management processes through the line managers.
• Responsible for down-streaming and creation of awareness of the organization’s policies to staff and overseeing adherence.
• Works closely with the Global HR and Administration team, and acts as the country’s support in implementing new Global HR strategies and processes.
Management of procurement for the country office.
• Ensure full knowledge of the process for receiving procurement requests, processing, and following up on the deliveries.
• Procure goods and services efficiently and exceed compliance standards seeking the best value for money.
• In liaison with the supervisor and program and finance team, coordinate preparation, evaluation, analysis, and approval of bids and tenders.
• Building and managing effective relationships with internal and external stakeholders to achieve common goals.
• Streamline procedures and resolve problems related to procurement processes in his/he
General Administration
• Responsible for the management of office administration functions and the focal point for all operational needs for efficient office operations.
• Responsible for the management of assets including ensuring that the assets of the organization are identified, listed, and maintained ensuring adherence to Stromme Foundation asset management policies.
• General office management and supervision of contracted staff and service providers in the office
• Any other duties assigned.
Supervision and Team management:
• Supervise Admin Assistant, drivers, and all casual staff.
• Identify capacity-building needs for supervisees and ensure their participation in relevant training.
Qualifications, skills, and experience.
• The ideal applicant must hold at least a bachelor’s degree in human resource management, management.
• At least three years of demonstrated working experience as an HR practitioner with demonstrated sound office Administration/Procurement management experience in the not-for-profit sector.
• Proficient in the use of MS Office, and HR systems/databases.
• Organized and Analytical with attention to detail and a process-oriented person
• Independent thinker and Team player
• Ability to manage and prioritize a high workload and multiple tasks with tight deadlines.
• Independent thinker with good interpersonal skills to establish strong working relationships with colleagues.
• Fluency in written and spoken English.
Reporting lines
The Human Resource and Admin Officer will report to the Finance and Administration Manager with dotted lines to the Global Human Resource Specialist.
