About The Green Africa Youth Organization (GAYO)
GAYO is a youth-led gender-balanced Non-Governmental Organization (NGO) that advocates for environmental sustainability and community development. Founded in 2014 in Ghana, GAYO is dedicated to raising awareness, educating, and building the capacity of different stakeholders to adopt sustainable environmental practices that satisfy the needs of the present generation without compromising the ability of future generations to have a good quality of life. As part of the Green Africa Youth Organization’s aim to expand across other African countries, we have established the GAYO in Uganda office to advance the mission of researching to provide solutions to pressing environmental issues through youth empowerment and public education. Position Description
As part of the Green Africa Youth Organization’s aim to expand across other African countries, we have established the GAYO in Uganda office to advance the mission of researching to provide solutions to pressing environmental issues through youth empowerment and public education. The primary responsibility of this role is to provide administrative assistance to ensure the smooth functioning of GAYO Uganda’s operations. This position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The Administrative Support Assistant will directly collaborate with the GAYO Uganda Country Manager, providing vital support, while also closely working alongside the Programs Manager to ensure seamless operation and coordination of activities in Uganda.
Responsibilities
The core responsibilities of the role are listed below, however, other correlated duties may be required based on institutional need.
● Provide general administrative support such as managing correspondence, scheduling appointments, and organizing meetings.
● Maintain and update records, databases, and filing systems accurately and efficiently.
● Assist in the preparation and distribution of documents, reports, and presentations.
● Coordinate travel arrangements and logistics for staff members as required.
● Assist in procurement processes by obtaining quotations, preparing purchase orders, and tracking deliveries.
● Assist in the organization of events, workshops, and training sessions by coordinating logistics, sending invitations, and providing on-site support.
● Assist in maintaining office supplies inventory and place orders as needed.
● Support HR processes such as onboarding new employees, maintaining organization/ personnel files, and tracking all records.
Desired Qualifications
● Bachelor’s degree or Diploma in human resource management, Records and Archives management, office administration or related field.
● Communication Skills to effectively interact with stakeholders, partners and team members.
● Proficiency in basic computer skills such as word processing, spreadsheet management, and email management, and familiarity with office software suites like Google Workspace.
● Attention to detail to ensure accuracy in tasks such as data entry, proofreading documents, and maintaining records.
● Organizational Skills in terms of managing schedules, arranging meetings, and maintaining files and records.
● Time Management and ability to prioritize tasks and manage time effectively to meet deadlines and balance multiple responsibilities.
● Experience in financial modelling, budget forecasting, or financial auditing is highly advantageous. This expertise will contribute significantly to the strategic financial planning and efficiency of our operations.

● Supported HR processes in compliance with organizational policies and procedures.
Terms and Conditions
1. 3-months’ probation period.
2. Working hours: 40 per week (full-time)
3. Paid leave: 21 days in a year
4. Working language: English
5. The employee will receive a monthly net salary of Ugx 400,000
