Finance and Administrative Assistant at United Nations African Institute for the Prevention of Crime and the Treatment of Offenders (UNAFRI)
Organizational Setting and Reporting:
The post is at the United Nations African Institute for the Prevention of Crime and the Treatment of Offenders (UNAFRI) in Kampala, Uganda.
Responsibilities:
The Finance and Administrative Assistant, under the direction and authority of the Director-General, shall:
Plan, guide and control the work performed by the Finance /Administrative Unit and provide management with information on the financial position of the Institute.
Duties and Responsibilities
Finance:
• Maintaining accounting records and reports.
• Checking financial statements to ascertain accuracy.
• Preparing bank reconciliation statements.
• Post entries into the ledger and extraction of the trial balance.
• Forecasting cash requirements/obligations as a basis for maintaining adequate funds.
• Preparing budget estimates.
• Processing payments of different types.
• Maintaining both manual and computerized accounting systems.
• Maintaining the Assets Inventories,
• Analyzing queries and developing logic and appropriate responses.
• Deputizing the Administrative/Finance Officer.
Outputs/Performance Standards
• Books of accounts properly maintained.
• Bank reconciliation statements were prepared on time and correctly.
• Budget estimates prepared and submitted to relevant authorities in time.
• Payment processed and paid promptly.
• Well-maintained accounting systems.
• Well-maintained inventories.
• Audit queries answered satisfactorily.
Administrative:
• Assist in procurement and contract (LPO) preparation.
• General Administrative services including, but not limited to, ensuring the cleanliness of facilities and safety of property, assist in supervising staff, e.g., messengers, cleaners and drivers.
• Administration of entitlement i.e., reviews and processes requests for benefits,
• entitlements and claims such as education grants, home leave and official travel of all
• categories of staff while verifying eligibility for such claims.
• Preparation of salary rosters and ensuring that salary is paid promptly on payday.
• Assist in preparing written responses to human resource-related queries.
• Provide supervision and training to new and lower-level staff of the General Service category
• Ensuring that the UNAFRI Guest House facilities are adequate and habitable.
• Perform other duties as required.
Qualifications
• Bachelor of Commerce (Majoring in Accounting/Finance)
• A postgraduate qualification in Financial Management is desirable, or
• Professional accounting qualification.

• Knowledge and demonstrated skills in the use of financial accounting Software and Spreadsheets
